Curriculum Design for Clinical Excellence: Onboarding Framework for a Community Health Network
A fast-growing community health network partnered with Planneris to design a standardized onboarding curriculum for new clinical staff across 12 locations. The result was a scalable, human-centered training framework that reduced ramp-up time, improved compliance, and enhanced care consistency system-wide.

As healthcare organizations grow, the need for structured onboarding becomes critical, not just to accelerate new hire readiness, but to ensure consistency in care delivery, regulatory compliance, and cultural alignment. A multi-site community health network engaged Planneris to design a standardized onboarding curriculum for newly hired clinical staff. The goal was to strengthen onboarding infrastructure across locations, reduce early-stage turnover, and improve patient experience through confident, well-prepared frontline employees.
Challenge
The health network was expanding rapidly, bringing on new nurses, medical assistants, and care coordinators across its urban and rural clinics. While the organization had a strong mission and values, onboarding practices varied widely from site to site.
Supervisors were customizing training materials on the fly, and newly hired staff often lacked clarity on workflows, documentation protocols, or team expectations. As a result:
Ramp-up time for clinical roles was inconsistent and inefficient
Compliance-related errors increased during the first 30 to 60 days on the job
Managers spent excessive time repeating foundational training content
Patient experience scores fluctuated based on site and staffing variability
Leadership sought a standardized, scalable onboarding curriculum that could reduce training gaps, improve cross-site consistency, and accelerate time to competence.
Planneris Approach
Planneris led the end-to-end design and rollout of a structured onboarding curriculum that combined clinical rigor with human-centered design.
Organizational Discovery and Workflow Analysis: Conducted interviews with clinical managers, HR leads, and new hires. Reviewed process documentation and intake protocols across five sites to understand how onboarding content was or wasn’t being implemented. Identified high-friction tasks, documentation inconsistencies, and knowledge gaps through cross-site comparison.
Curriculum Architecture: Designed a four-week, modular onboarding curriculum focused on priority domains such as EHR documentation, HIPAA compliance, team communication, social determinants of health (SDOH), and trauma-informed care. Each module was structured with clear learning outcomes, recommended delivery timing, and options for in-person and virtual facilitation.
Instructional Design and Content Creation: Developed facilitator toolkits, annotated workflows, quick-reference job aids, and learner handbooks. Created scenario-based learning activities and simulation prompts to mimic real-world clinical challenges, enhancing experiential learning.
Implementation and Staff Enablement: Delivered a train-the-trainer series for onboarding leads, along with feedback templates and evaluation rubrics to monitor progress during the first 90 days. Provided guidance on incorporating curriculum into digital LMS platforms and adapting for site-specific needs.
Results
Following implementation, the organization reported:
A 35 percent decrease in new hire ramp-up time
100 percent policy compliance on core documentation and intake protocols within the first 30 days
A 40 percent improvement in staff-reported confidence managing clinical workflows
Full adoption of the onboarding curriculum across all 12 clinic sites within six months
Impact
The standardized onboarding curriculum helped the health network build operational consistency across locations while freeing up supervisors to focus on mentorship and quality assurance. The curriculum has since become a foundational asset in the network’s workforce development strategy, used not only for new clinical staff but also for student externs and behavioral health roles.
This engagement demonstrates how thoughtful curriculum design, when aligned with strategic goals and frontline realities, can improve efficiency, reduce burnout, and enhance the patient care experience at scale.
